Privacy & Data Collection
The primary goal in collecting personal data from you is to provide you with a seamless, efficient and personalised experience when enquiring about our photo booth services and packages. In doing so, we offer a customised service that includes features that enhance your experience and make your experience on megabooth.com easier and quicker.
We use web analytics tools to analyse visitor site usage. Google Analytics allows us to report on how users arrive on our site. This indicates where the user has come from, popular landing pages and referral websites. The data is collected via a Javascript tag in the footer of megabooth.com. It is not tied to personally identifiable information.
megabooth.com operates an ‘implied consent’ policy, which means that by using the site you are happy with how your data is used. If you are not satisfied, you should either not use the website or block access. You may also use incognito or private browsing mode to browse without storing cookies locally.
Image & Data Handling
- Use of Images
All images captured at the event are stored locally on the photo booth system and are permanently deleted at the close of the event. If email sharing is enabled, all transmissions are encrypted and emails are deleted from our system after 3 days. Should QR code sharing be selected, images are hosted on our cloud service for a maximum of 7 days, with the option to delete sooner upon request.
- Retention
Local images are deleted at the end of the event. Email data is purged after 3 days. Cloud-hosted images (QR sharing only) are retained for up to 7 days and can be removed earlier on request. No data is retained beyond these periods.
- Storage
Our email and cloud services are hosted on EU-based servers, fully compliant with GDPR. Please let us know if UK-specific data residency is a hard requirement.
- Printed vs Electronic
For print-only activations, all images are processed and stored locally on the photo booth system with no data uploaded to any external server.
- Post-Event Gallery
We can deliver the full image gallery to you securely following the event. Our preferred method is a password-protected Dropbox link, though we are happy to accommodate an alternative transfer method if that better suits your compliance requirements.
Hire with Boothclub Ltd — Terms of Purchase
Intellectual Property
All materials, equipment, copyright, design rights or any other forms of intellectual property rights in the artwork supplied by the Purchaser to Boothclub Ltd shall at all times be and remain the exclusive property of the Purchaser. The Purchaser guarantees that it holds all necessary rights and licences to the artwork and grants Boothclub Ltd a non-exclusive, royalty-free licence to use the artwork for the purpose of fulfilling its obligations under this contract.
Publicity
Boothclub Ltd shall not use the name, fame, reputation and/or brand of the Purchaser for any purpose other than the performance of the contract, including, without limitation, Boothclub Ltd’s own promotional and/or marketing activities.
Confidentiality
Both parties shall keep in strict confidence all information which could reasonably be deemed to be of a confidential nature and which has been disclosed by one party to the other or its employees, officers, agents, consultants, contractors, sub-contractors, staff and/or other representatives as a result of performance of this contract.
Additional Terms & Conditions
The Internet is to be provided to us when uploading from our photo booths. Internet Dongles are supplied, but this must be requested in advance.
Boothclub Ltd requires consent from the purchaser to all images and data taken at events unless we have explicitly been asked to sign a contract stating otherwise.
Boothclub Ltd uses printers that need changing every 400 prints, so if this needs replacing during the event it can take up to 5 minutes.
Staff are trained technicians with experience in troubleshooting technical faults. If there is a problem, the technician will try to resolve it as soon as possible and will have a superior on call to assist.
If for any reason the photo branding is not working on the night, we will try to send a replacement to the booth attendant. On the rare occasion we cannot correct the issue, we will use a blank version for the event, and post-event the branding will be placed on the photos when the gallery is uploaded.
The Purchaser agrees that in all circumstances, Boothclub’s liability shall be exclusively limited to an amount equal to the operational fee and not be liable for indirect or consequential damages arising from any breach of contract.
In the event the Purchaser cancels the contract, he or she shall not be refunded the deposit or be required to pay a 50% cancellation fee if the deposit has yet to be paid. If the purchaser cancels 30 days before an event, the purchaser is contractually obliged to pay a further 50% of the total cost.
It is agreed that the Purchaser shall be held liable for any injury or damages to the Photo Booth or associated property during the operational time, whether caused by the purchaser, guests, employees, or any other party in attendance.
It is understood that if this is a “Rain or Shine” event, Boothclub Ltd’s compensation is in no way affected by adverse weather conditions. For outdoor events, the Purchaser shall provide overhead shelter for the setup area. Boothclub Ltd reserves the right to stop or cancel the service should the weather pose a potential danger to personnel, equipment, or attendees. Safety is paramount in all decisions and compensation will not be affected by such cancellation.
All assets owned by Boothclub Ltd cannot be relocated from the premises upon which our team has installed them. In the event of any damage, the associated costs will be reflected in the final invoice.
By completing this contract as the Purchaser, the person completing the contract confirms they are eighteen (18) years of age or older and accepts full responsibility and liability under the terms of this contract.
Payment Terms
A non-refundable deposit of 50% is required to secure the date and time. This amount shall be applied toward the total contract, as confirmed in the quote. The remaining balance is due on or before the day of the event.
Services requested that exceed the agreed time frame will be charged at the rate of £100.00 per hour, payable on the day of the event. Extended time requests will be accommodated where feasible.

We require your name, address and contact details at the time of booking. We use your information to keep you updated with your booking, issue invoices, confirm event details, and provide post-event galleries and additional correspondence.
Post-event, we will provide you with a link to your event photo booth gallery, or alternatively a Wetransfer link or USB with all images.
Photographs taken during the event will be printed for each guest if requested. Photos and data will be put onto a fully encrypted USB stick for transfer and saved internally, password-protected and accessible only to those party to the contract.
Event photos will be deleted after three months unless used for agreed marketing or promotional purposes as confirmed at the time of booking.
Your agreement to these terms and conditions provides the lawful basis for processing the above data.
GDPR-Compliant Photo Booths
Consent must be freely given and unambiguous. Users will have a clear message requesting them to opt in to any service that handles their data. Consent is not valid if the data subject has no real choice. Consent must also be specific and informed — the data subject must understand what they are agreeing to.
Categories of Personal Data
During an event, data which passes through our system has been given directly to us by participants. By participating, a user understands and accepts that their personal data will be sent to Boothclub Ltd in the UK and to the responsible data-controlling client, brand, or organisation. By participating, users also grant the company, brand or organisation the right to use collected content on their related marketing channels.
The photo booth screen will display a mandatory tick box which consumers must actively tick (no ticking by default) before submitting their entry.
Right to Withdraw Consent
If you need to cancel your booking with us, you can ask us to remove your data from our records, and we will do so promptly.

Contractual Requirement
When completing the contract to secure your photo experience, the details you provide are used solely for the services we supply. We will not ask for or store any more information than is essential for our provision of service.
